Business Support Administrator

Customer Service Executive

- Permanent, full time position

- Monday - Friday (08.30 - 17.00)

- 21 days holiday per annum + Bank Holidays

- Full on the job training provided

  • Permanent, full time position
  • Salary £17,500 to £18,000 depending on experience, with increase after successful 6 month probation
  • Working hours are Monday – Friday 08.30 – 17.00, plus 1 Saturday morning a month, 8.00am-12.00pm.
  • Permanent contract with a successful and growing company
  • 21 days holiday per annum + Bank Holidays
  • Full on the job training provided
  • Checking paperwork for correct pricing etc. Where appropriate, sign and return documentation
  • Follow all company procedures and rules as laid down in the contract of employment and company handbook
  • Any other duty requested

Your responsibilities

To work as part of a team and on own initiative providing administrative support to the business.

The most successful Administrator will be honest, trustworthy, accurate, self-motivated, enthusiastic and proactive.

Responsible for the Company’s Travel & Accommodation requirement to include:

  • Manage and monitor Travel and Accommodation budget, ensuring most cost-effective option
  • Book accommodation, meeting rooms and organise lunches for employees when required
  • Book travel (flights, hire vehicles, ferry crossings)
  • Book parking & congestion when required
  • Reconcile invoices and enter on Sage

Assist with the Health & Safety administration function to include:

  • Health & Safety Questionnaires
  • Risk Assessments Method Statements
  • Material Safety Data Sheets
  • Control of Substances Hazardous to Health
  • ISO 9001 & 14001
  • Renewal of Accreditations
  • Dangerous Goods Notes

NVQ Centre Administrator

  • Organisation, booking and keeping records of training courses
  • Preparing and printing training material for new starters

Reception duties

  • Undertaking fire checks/ fire alarm testing

Person specification

  • Ability to work as part of a team or on own initiative
  • Ability to exhibit high level of confidentiality
  • Ability to work to strict deadlines
  • Strong communication skills, particularly oral but also written
  • Desire and attitude to make an impact on costs to budgets.

  • Be the first point of contact for customer enquiries and orders predominantly with existing customer base
  • Excellent telephone manner to be able to deal will all levels of customers
  • Respond to all customer enquiries received by telephone, email, post or website in a timely fashion
  • Be helpful and develop a professional but friendly service
  • Be organised, focused and reliable
  • Build and maintain strong customer relationships during every contact to increase customer loyalty and retain business levels
  • Achieving individual targets
  • Maximise all sales and retention opportunities and ensure customers are fully aware of the services we offer
  • Set up and maintain accurate customer accounts, customer sites and contacts
  • Recognise issues, using your own initiative to establish when these must be passed to the Customer Service Manager, Field Sales, Credit Control or Operations Managers
  • Checking paperwork for correct pricing etc. Where appropriate, sign and return documentation
  • Follow all company procedures and rules as laid down in the contract of employment and company handbook

Person specification

  • Friendly and outgoing personality
  • Professional telephone manner with excellent communication, listening and questioning skills
  • Able to build rapport and relationships with customers
  • Ability to remain calm when dealing with emotional, difficult or distressed people
  • Excellent timekeeping and attendance
  • Ability to work as part of a team or on own initiative
  • Must possess attention to detail skills
  • A proven experience of customer service role
  • Good IT skills, including Microsoft Office suite
  • Education to GCSE level or equivalent, or above
  • Quick and accurate keyboard skills above average KDPH and experience of using databases.
  • A working knowledge of Microsoft Office Applications is essential in this role.
